The problem
Steijn at Match Masters Recruitment was tracking his candidates and clients by hand. An ATS, you'd think. But that's not where the problem sits. An ATS only kicks in once a candidate is already in your pipeline. The step before that, who's interesting, who have I spoken to, where is there movement, Steijn handled in spreadsheets and loose notes.
The approach
We built a dashboard that starts there. Potential candidates are logged automatically from multiple sources at once. Clients, status, and follow-ups sit in the same place. Plus the insights that used to be hidden: where is there movement, who hasn't he spoken to in a while, which vacancies are stuck. Spreadsheets he used to keep himself now roll out automatically. This is automating recruitment with AI on the step before the ATS: the tracking runs itself, the decisions stay with Steijn.
How it was built
- From call to live: within two weeks.
- Tailored to his process, not a tool he had to learn first.
Result
The result: on average two hours a day less admin. Time that now goes to conversations, not to tracking. More examples are on our AI systems for recruitment and staffing agencies. How to prepare that search work is in automating sourcing.
In Steijn's words
I finally have grip on my pipeline without it costing me hours a day.
