AI for staffing agencies: what it fixes and what it doesn't

At a staffing agency the time drains in different places than in recruitment. Not in screening CVs. It sits in the scheduling and in retyping worked hours. And in a flex pool where you no longer call half the people in it. Here is what AI does about that, and just as honestly, what it doesn't.

Where the hours drain in staffing

Every week the hours come in. From one person a photo of a paper slip, from another an Excel file, from a third a text message on Friday night. Someone at the office retypes all of it into Easyflex before payroll runs. That is a few hours of work, every week, and a single typo costs you a correction and an annoyed worker.

Scheduling is the second leak. Who is free when, whose contract is ending, who you promised to call back. You keep it in your head and in a spreadsheet, and on a busy day someone always slips through.

Then there is your flex pool. It keeps growing, but in practice you call the same small group, because the rest has dropped off your radar. The people who were your best placements six months ago are now gathering dust in your files.

What AI fixes, and what it doesn't

AI is good at reading and moving data, and at preparing your scheduling. It is not good at phone calls, and not at deciding who to place where.

What it does: it reads a timesheet, however it comes in, and drops it into your software ready to go. It tracks who is available and who you haven't spoken to in weeks. It puts a new request next to the people who fit and lines up the contact for you. What it doesn't do: have the conversation, chase a no-show, or decide whether someone is ready for a particular client. That stays your work, and it should.

We build on the same principle in every project. There is a fuller explanation in our guide on how recruitment automation works.

Automating timesheet processing in practice

For most agencies this is the fastest win, because it is pure retyping that comes back every week. Here is how it runs.

The hours arrive the way they already arrive, by email, as a photo or as a PDF. The system reads them out, even from a crooked photo or a table with a thumb over half of it. It matches every line to the right worker, the right project and the right rate. If it is unsure about a line, it sets that one aside with a flag instead of guessing. You only review the doubtful ones. The rest is ready in Easyflex for payroll.

We are building this for a staffing agency right now, and the hard part is not the tidy Excel files. It is the odd handwriting and the badly lit photo. That is where most of the work went, because that is also where manual retyping goes wrong most often. This falls under Production, the system for the admin work between a request and getting people paid.

Getting more out of your flex pool

Every staffing agency has more people in its files than it actively calls. A request comes in and you start sourcing again, while the right person is already sitting in your software. You just lost track of them.

A system that searches your pool for you turns that around. On a new request it first checks who is available and who fits, including the people you had lost sight of. In staffing, speed is often the whole game. Whoever proposes a good candidate first wins the assignment. Working inside your own software

You don't have to move to a new system. That is the main thing. Everything runs inside Easyflex, Carerix or whatever package you already use. The hours land where your payroll expects them, and your schedulers work in the screen they already know. No migration and no new login for your team. Nobody has to spend weeks getting used to a different program.

Everything we build runs inside your own environment. The full overview of our AI systems for recruitment and staffing agencies is on the services page.

What stays human work

AI takes away the retyping and the searching through your pool. But the Monday someone doesn't show up, it can't fix. A client with a complaint you still call back yourself, and whether someone is about to drop out after two weeks, you sense sooner than any system does. The relationship with your client and your people stays human work, and that is exactly where you want your time to go, instead of retyping timesheets.

Frequently asked questions

Does this work with Easyflex?
Yes. It runs right inside Easyflex, and just as well in Carerix or Bullhorn. Your team doesn't move to anything new.
Does my data stay mine?
Yes. Your worker and timesheet data lives inside your own systems and stays there. We never use it to train models and we hand nothing to outside parties. If you want it on paper, a data processing agreement comes with it.
What do my schedulers keep doing themselves?
The choices about people. AI does the prep work, like reading and matching. Your schedulers make the calls, plan the week and decide who goes where.

Where do the hours drain at your agency?

Book a 30-minute call. We look at where the time goes and send a concrete proposal afterwards.
